Terms of Service
1. Agreement to these Terms
These Terms of Service (“Terms”) form a binding agreement between you (“you”, “your”, or “Customer”) and ApexDoc (“ApexDoc”, “we”, “us”, or “our”) regarding your access to and use of the ApexDoc websites, account portal, billing flows, PDF workspace, related software, and support materials (collectively, the “Service”).
By creating an account, signing in with email/password or Google, purchasing a plan, or otherwise using the Service, you confirm that you have read, understood, and agree to these Terms and our Privacy Policy. If you are accepting these Terms on behalf of a company or other legal entity, you represent that you have authority to bind that entity. If you do not agree, do not use the Service.
You must be at least 18 years old (or the age of legal majority in your jurisdiction) to create an account and purchase access.
2. Description of the Service
ApexDoc provides a paid, account-based PDF workspace for everyday office document tasks such as merging, splitting, compressing, converting, and related document utilities. The Service is intentionally designed without a public free bypass: access to the PDF workspace is granted only after a valid account session and an active paid plan (monthly subscription or lifetime license) associated with that account.
Features, interfaces, and tooling may evolve over time as we improve reliability, usability, and security. We may add, modify, or discontinue features where reasonably necessary for product quality, legal compliance, infrastructure constraints, or security hardening. Material changes that significantly reduce core paid functionality will be communicated where practicable.
ApexDoc is provided as a business productivity tool. It is not a law firm, notary, government filing portal, or substitute for professional legal, tax, compliance, or archival advice.
3. Accounts, authentication, and responsibility
3.1 Account creation
To use the Service, you must create an ApexDoc account using a valid email address and password, or through supported Google Sign-In. You agree to provide accurate registration information and to keep it current.
3.2 Credential security
You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. You must:
- use a strong, unique password if you sign in with email/password;
- not share passwords, session links, license claim links, or account cookies with unauthorized persons;
- promptly notify us if you suspect unauthorized access, credential theft, or account compromise;
- ensure that only authorized personnel in your organization use your paid seat/account.
3.3 Organizational use
If you purchase ApexDoc for an office or team, you remain responsible for how your users handle documents, exports, and access. You must ensure your internal policies for confidential information, employment records, identity documents, and customer files are followed when using the Service.
3.4 Account integrity
We may refuse registration, require re-authentication, reset sessions, or suspend accounts where we reasonably believe credentials are shared, abused, sold, or used in a way that undermines the security model of the Service.
4. Security commitments and your duties
Security is a core product requirement for ApexDoc. We design access controls so that unpaid or unauthenticated users cannot open the protected PDF workspace, and so that account sessions and license grants are issued only after successful authentication and payment verification.
Our security approach includes, among other measures:
- account authentication through Firebase Authentication (email/password and Google Sign-In where enabled);
- server-side session cookies that are HttpOnly and scoped to reduce client-side script exposure;
- payment processing through Stripe so that ApexDoc does not store full card numbers;
- license validation and gated access to the PDF application;
- least-privilege design for customer profile data stored in our systems.
No online service can guarantee absolute security. You acknowledge that you must also practice good security hygiene on your devices, networks, browsers, and shared office computers. ApexDoc is not responsible for losses caused by compromised endpoints, phishing, malware on your machines, or credential sharing within your organization.
5. Privacy as a primary obligation
Privacy is not secondary marketing language for ApexDoc — it is an operational priority. We process personal data as described in our Privacy Policy, including account identifiers needed to authenticate you and billing information handled by Stripe.
You agree that documents you upload or process may contain personal or confidential information belonging to you, your employees, your customers, or third parties. You represent that you have a lawful basis and appropriate authority to process those documents in ApexDoc, and that you will not use the Service to unlawfully collect, expose, or traffic in personal data.
We do not sell your document contents. We do not use your PDF contents for advertising profiles. Our Privacy Policy explains what we collect, why we collect it, how long we keep it, and how you can request account-related deletion where applicable.
6. Plans, payments, renewals, and refunds
6.1 Paid access only
ApexDoc is a paid product. Creating an account alone does not unlock the PDF workspace. You must complete Stripe Checkout for either a monthly subscription or a lifetime license linked to your account.
6.2 Monthly subscription
Monthly plans renew automatically through Stripe until canceled. Access continues while the subscription remains in good standing. If payment fails, Stripe retries according to its billing settings, and we may revoke workspace access after failed or canceled subscription events.
6.3 Lifetime license
A lifetime license is a one-time purchase for the purchasing ApexDoc account under these Terms. “Lifetime” refers to the commercial life of the ApexDoc service for that account, not a guarantee of perpetual infrastructure, identical feature sets forever, or survival of every third-party dependency. If ApexDoc is discontinued, we will provide reasonable notice where practicable.
6.4 Pricing and taxes
Prices are shown at checkout and may change for future purchases or renewals. Applicable taxes may be collected by Stripe based on your location and Stripe’s tax configuration. You are responsible for any taxes not collected by Stripe where required by law.
6.5 Chargebacks and refunds
If you believe a charge is incorrect, contact us promptly before initiating a chargeback so we can investigate. Fraudulent chargebacks, payment abuse, or repeated billing disputes may result in immediate suspension. Refund requests are assessed case by case; unless required by law or expressly stated at purchase, fees are generally non-refundable after successful access issuance.
6.6 Payment processor
Payments are processed by Stripe. Your use of Stripe Checkout is also subject to Stripe’s terms and privacy notices. ApexDoc does not store full payment card numbers on its servers.
7. Acceptable use
You agree not to misuse the Service. Prohibited conduct includes, without limitation:
- attempting to bypass authentication, licensing, paywalls, cookies, or access gates;
- sharing, reselling, renting, sublicensing, or publicly distributing account access;
- reverse engineering, scraping, probing, or attacking the Service except where expressly permitted by mandatory law;
- uploading malware, weaponized files, or content intended to disrupt systems;
- using ApexDoc to violate privacy, intellectual property, export, sanctions, or criminal laws;
- processing documents you are not authorized to handle;
- impersonating another person or misrepresenting affiliation with ApexDoc;
- overloading infrastructure through automated abuse unrelated to normal office use.
We may investigate suspected violations and suspend or terminate access where reasonably necessary to protect the Service, other customers, or third parties.
8. Your documents and content
You retain ownership of the documents and files you upload or generate through the Service (“Customer Content”). You grant ApexDoc a limited, non-exclusive license to host, process, transmit, and temporarily store Customer Content solely as needed to provide the Service you request (for example, converting or merging a PDF).
You are solely responsible for the legality, accuracy, and confidentiality of Customer Content, including backups you choose to keep outside ApexDoc. Because document processing is operational and often transient, you should not treat ApexDoc as your only long-term archive unless a durable storage feature is expressly offered and enabled for your account.
We may remove or block Customer Content that appears unlawful, abusive, or dangerous to the platform, and we may preserve or disclose information when required by law or to protect rights, safety, and security.
9. Intellectual property
ApexDoc, including its software, branding, interface design, documentation, and trademarks, is owned by us or our licensors. These Terms do not transfer ownership of ApexDoc intellectual property to you. You receive a limited, revocable, non-transferable right to use the Service according to your paid plan and these Terms.
You may not copy, modify, distribute, or create derivative works from ApexDoc software except as allowed by mandatory law or a separate written agreement. Feedback you provide may be used by us to improve the Service without obligation to you.
10. Availability, support, and changes
We aim to keep ApexDoc reliable for office use, including maintenance, monitoring, and security updates. The Service may be temporarily unavailable due to maintenance, outages at cloud providers, network issues, force majeure events, or urgent security patches.
Support is provided on a commercially reasonable basis through the contact channels we publish. Response times may vary. Feature requests are evaluated at our discretion.
11. Disclaimers
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” APEXDOC DISCLAIMS ALL WARRANTIES, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
We do not warrant that the Service will be uninterrupted, error-free, completely secure, or that every PDF conversion, merge, or processing result will meet every office workflow requirement. You are responsible for reviewing outputs before relying on them for legal, financial, archival, or customer-facing use.
12. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, APEXDOC AND ITS SUPPLIERS WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, LOST REVENUE, LOST DATA, BUSINESS INTERRUPTION, OR REPLACEMENT COSTS, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY ARISING OUT OF OR RELATED TO THE SERVICE OR THESE TERMS WILL NOT EXCEED THE AMOUNTS YOU PAID TO APEXDOC FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM (OR, FOR A LIFETIME LICENSE, THE ONE-TIME FEE PAID FOR THAT LICENSE).
Some jurisdictions do not allow certain limitations. In those jurisdictions, our liability is limited to the fullest extent permitted by law.
13. Suspension and termination
You may stop using ApexDoc at any time and may cancel a monthly subscription through the Stripe customer portal or by contacting us with sufficient account verification. Lifetime licenses remain subject to these Terms and may be revoked for material breach, unlawful use, or fraud.
We may suspend or terminate access immediately if you violate these Terms, if required by law, if payment fails, if we detect security abuse, or if continuing service would create unacceptable risk. Upon termination, your right to access the PDF workspace ends, though certain provisions of these Terms (including ownership, disclaimers, limitations, and privacy-related surviving duties) continue.
14. Governing law and disputes
These Terms are governed by the laws applicable in the jurisdiction where the ApexDoc operator is established, without regard to conflict-of-law principles, except where mandatory consumer protections in your country require otherwise. Courts in that jurisdiction will have exclusive jurisdiction over disputes, subject to any non-waivable rights you may have.
Before filing a formal claim, you agree to contact us and attempt in good faith to resolve the dispute informally within thirty (30) days.
15. Changes to these Terms
We may update these Terms to reflect product changes, legal requirements, or security improvements. The “Last updated” date will change when we do. Continued use of the Service after an update becomes effective constitutes acceptance of the revised Terms, except where additional consent is required by law. If you do not agree, you must stop using the Service and cancel any subscription.
